Expiries

One list of everything that is expired or about to expire — registrations, DG licences, certificates, insurance, driver credentials and services — and the Dashboard tile that shows the same list.

Fleet → Expiries (/operations/fleet/expiries). Everything that needs renewing, with the most urgent first. Dates are judged by Melbourne time, so something that expires today is due today, not expired.

KindWhere the date comes from
RegistrationThe vehicle’s registration expiry — set on Fleet Overview, or by its records on Fleet Assets.
DG licenceThe vehicle’s DG licence expiry. Listed only for vehicles with a DG licence number or date.
CertificateThe latest certificate of each type for each vehicle.
InsuranceThe latest policy for each vehicle.
Driver credentialThe latest of each driver’s licence, DG licence, medical and induction.
ServiceA vehicle that is overdue or due soon for a service by kilometres, months or engine hours — the same answer as the Maintenance page.

Vehicles marked Inactive or decommissioned are left out, and so are inactive, terminated or archived drivers.

  • Expired (Overdue for a service): the date has passed, or the service interval has.
  • Due soon: within the warning period — 30 days, or the certificate type’s own period (14 days for a fire extinguisher check or spill kit).
  • Current: further away than that.
  • Not recorded: there is no date. Hidden unless you tick Include not recorded. A vehicle with no registration expiry shows here.

The cards across the top count Expired / overdue, Due soon, Current (in this list) and Not recorded.

  • Show: Due within 30 days (the default), Within 60 days, Within 90 days, Expired only or Everything. Expired items always show. A service that is due by kilometres or hours has no date, so it shows in every window.
  • For: vehicles, drivers, or both.
  • Kind: one of the kinds above.

Click Apply.

  • Renew (registration, DG licence, certificate, insurance): opens the Fleet Assets form for that vehicle, pre-filled. The new record starts where the old one ends and runs for the same length — 12 months if the old one had no start date. Check the dates before you save.
  • Update: shown instead of Renew while Fleet Assets is still being set up. It opens the vehicle on Fleet Overview.
  • Maintenance: for a service, opens the Maintenance page for that vehicle.
  • Open: opens the vehicle, or Driver Management for a driver’s credential.

Renew and Update are for Operations and Admin accounts.

Fleet expiries on the Dashboard shows the top 10 items that are expired or due within the next 30 days, from this same list, so the two always agree. All → opens this page. When nothing is due, it says Nothing expiring in the next 30 days.

A daily email of this list is available too — see Fleet Digest.

⚠️ If the page says insurance and certificate expiries will appear once the fleet assets update has been applied, this database is waiting for an update. Registrations, DG licences, driver credentials and services are still listed.
