Fleet Digest
Your own daily email of fleet expiries — turning it on, choosing how far ahead it looks, previewing it and sending yourself a test.
Settings → Fleet Digest (/operations/settings/fleet-digest). A morning email of what is overdue or coming due across the fleet. It is the same list as Expiries, so the email and the screen always agree.
These settings are yours only. Nobody else’s subscription is shown or changed here.
Subscribing
Section titled “Subscribing”- Send me the daily fleet digest turns your email on or off.
- Send to is your account address unless you change it. An address that another user has already subscribed is refused.
- Days ahead to list as due: 1 to 365, default 30. This is your own window, whatever warning period each item has on the Expiries page.
Click Save. Under the buttons you can see when it was last sent, and the reason if the last attempt failed.
The email goes only while you have an active Operations or Admin account. If your account is deactivated or its role changes, it stops.
What the email contains
Section titled “What the email contains”- Overdue: everything expired, and services past their interval.
- Due within N days: grouped by kind — registration, insurance, each certificate type, driver credentials.
- Services due: by kilometres or engine hours, not yet overdue.
- Open defects, oldest first: up to 20, from vehicle checks.
- Not recorded: a count per kind of items with no date.
- A link to Open fleet expiries.
The subject line gives the counts, for example Fleet: 2 overdue, 5 due within 30 days. No email is sent on a day with nothing to report. Items with no date alone do not trigger one.
Preview and test
Section titled “Preview and test”- Preview shows today’s email for the number of days in the box. It sends nothing, and it says when there is nothing to report.
- Send test to me sends one copy of today’s email to your account address — never the Send to address. If there is nothing to report today, it says so and sends nothing.
⚠️ The daily email only goes out if your administrator has turned it on for your system. Saving a subscription records what you want, but nothing arrives until the daily send is switched on and mail is set up. If the page says mail is in Mailosaur sandbox mode, emails, including tests, go to a test inbox, not your real mailbox. If it says the digest is not set up on this database, you can still preview the email but cannot subscribe yet.
